Three platforms, picked deliberately:

3CX (cloud-hosted or on-premise)

For shops where call volume is significant and the office wants the dashboard control of a real PBX. 3CX runs hosted on AWS or on a small Linux server in the closet. Pricing is per-system not per-seat, so growing teams scale without surprise bills. We deploy 3CX most often for professional services firms (law, accounting, healthcare admin) where the receptionist or office manager needs the flexible call routing.

FreePBX / PBX5 v2 (on-premise, open-source-based)

For shops that want full ownership and no recurring software licensing. FreePBX is the open-source PBX BMN runs internally and deploys for cost-sensitive customers. We migrated to PBX5 v2 in late April 2026 across the customer base; the upgrade brought CVE-57819 patches, hardened SIP, and new AI integration hooks. On-premise FreePBX pairs well with ClearlyIP SIP trunking for the lowest total cost of ownership at scale.

Microsoft Teams Phone

For shops already living in Microsoft 365. The phone system runs through Teams, every user gets calling on whatever device they’re already using, and the licensing rolls into the existing M365 subscription. We deploy this most often for distributed teams and shops where everyone is on Teams for video already.

AI agents: what they actually do for SMB call handling

AI agents in 2026 are not vendor theater. They’re a real and quiet productivity gain for offices that get a lot of routine inbound calls.

What our deployed AI agents actually do:

  • Pre-screen callers. The AI answers, asks why they’re calling, and routes to the right person. Sales inquiry to sales, service question to support, billing call to office manager. Faster than a phone tree, friendlier than a hold queue.

Any CRM that supports API calls can be integrated. The pattern is the same regardless of platform: outbound calls trigger via the CRM’s ‘log a call’ or ‘click to dial’ widget; inbound calls match by phone number lookup against the CRM’s contacts table; AI-generated call notes post back as activity records or notes via the CRM’s API. If your CRM exposes a REST or webhook API (effectively all of them in 2026), we can integrate it. Recent custom integrations include ServiceTitan, Jobber, and BookingKoala, all via their published APIs.

What we don’t do is force you to adopt a vendor-supplied CRM you don’t want. Use Zoho, use HubSpot, use the niche industry-specific CRM that fits your business. We integrate.

The boring specs that matter: trunking, fax, E911, network

SIP trunking

E911 / Enhanced 911

VoIP 911 is regulated under Kari’s Law (direct 911 dialing) and RAY BAUM’S Act (dispatchable location). We configure both, register physical addresses for every endpoint including softphones, and verify dispatchable location with a test call to your local 911 administrative line. This is a compliance step, not optional.

Network

VoIP is a network application. Quality of Service (QoS) on your firewall and switches matters. We deploy with Ubiquiti UniFi or MikroTik network gear depending on what’s already there, configure VoIP VLAN with priority tagging, and verify call quality with MOS scoring before declaring a deployment done. Skipping this step is how VoIP deployments fail at the 6-month mark.

How a quote from us actually works

Supported across all three platforms. We configure retention windows to match your compliance regime (HIPAA, FINRA, state-specific legal requirements). Recordings store either on the PBX or in cloud storage with proper access controls.

How does the CRM integration handle a phone number that doesn’t match a contact?

Inbound calls without a CRM match still ring through normally; the AI agent captures the caller’s name and intent and creates a new lead or contact record automatically with the call notes attached. No data lost. Sales follow-up next morning has full context.

Do you support Zoom Phone, RingCentral, or other hosted vendors?

We can support them but we don’t typically deploy them. Our deployed stack is 3CX, FreePBX, and Teams Phone because we own the integration depth on those three. If a customer comes in already on Zoom Phone or RingCentral, we’ll manage the platform; we won’t proactively migrate someone to it.

What’s the difference between hosted 3CX and on-premise FreePBX from my perspective?

Hosted is simpler: less hardware, less monthly oversight, slightly higher recurring cost.
